Timekeeping for Companionship Visits

Companionship visits (pre-approved visits to accompany a client to an appointment or place in the community) are tracked separate of personal care or home-making services. Therefore, worktime that involves companionship should be marked separately than regular timesheet or EVV procedures, so that they can be billed and paid out appropriately. Remember, since companionship visits involve additional authorization, they are subject to additional rules, including requirements to attain pre-approval for a visit from SHO Office, as well as phone call documentation requirements at the start and end of a visit to log companionship time.

When a companionship visit is authorized, SHO will call you to schedule the visit. If you do not receive a call from SHO, be sure to call the SHO office prior to the companionship visit to confirm the visit was pre-authorized and scheduled into SHO services. To record worktime for companionship visits:

  1. Call the SHO office at the start of your companionship visit to report the start time.

  2. Document the start time on the paper timesheet. See Timekeeping Policy - Section A for any questions on paper timesheet policy.

  3. After the visit, call the SHO office to report the time when you and your client return to the client’s home. This call must take place immediately after returning to the client’s home. The start and end times of the Companionship visit must be left on the Care Coordinator’s voicemail if a Care Coordinator does not answer the phone.

  4. Document the end time on the paper timesheet and obtain the appropriate client signature. Submit the timesheet according to the Monday deadlines and submission process.

  5. If you are providing services on the day of a companionship visit, record those services according to previous requirements, such as how you would normally record your worktime on a day without companionship visit. Visits are completely separate of homemaking or personal care services, so your service times and companionship visit cannot overlap. Your punch in/out for regular services, should be completely outside of the Companionship Visit times.
